An exciting opportunity has open up with an independent Broker based in South Birmingham.


Looking for an Executive Assistant to join the team to provide personalised administrative support to the CEO and members of the senior management team in a well-organised and timely manner.


The candidate

  • Excellent verbal and written communications skills
  • Confident working with all levels of management
  • Proficient in all Microsoft Windows applications including Word, Excel, PowerPoint and Outlook
  • Ability to work in a diverse team
  • Ability to work under pressure to agreed deadlines and adapt to change
  • Ability to produce minutes of meetings and draft / edit written documents and correspondence independently
  • Ability to retrieve information from relevant sources through research
  • Ability to handle confidential and sensitive material
  • The flexibility to work additional/out of hours as necessary to fulfil the requirements of the role and meet the business needs


The role

  • To provide support to the CEO in delivering the company's overall strategic objectives
  • To provide administrative services including diary management, booking meetings, planning events, organising travel and preparing travel itineraries, correspondence and prioritising emails for the CEO
  • To provide administrative support in the delivery of assignments and initiatives on behalf of the CEO's office as and when required
  • To ensure all correspondence and relevant materials are produced in a timely and accurate manner
  • To coordinate, attend and take minutes for the CEO's meetings and any other relevant meetings
  • Remind the CEO of important tasks and deadlines
  • To conduct research/ analysis as directed by the CEO
  • To produce reports for the CEO as and when required
  • To follow up on action points from meetings on behalf of the CEO
  • To provide high quality administrative support to the senior management team
  • Booking all company business travel including flights, transportation, and lodgings
  • Take the lead on internal and external communications/PR - including announcements, memos, presentations and social media
  • Work alongside Group Resources Manager to ensure all HR activities are carried out to the highest standard
  • Be a second point of contact for IT queries - solve simple IT problems and refer to IT support when necessary
  • Assist with the organisation of the CEO's personal commitments
